Job Title: Event Coordinator
Location: Whiteface Lodge – Lake Placid, NY
Department: Sales & Events
Reports To: Director of Sales & Event Manager

Position Summary

Whiteface Lodge is seeking a highly organized and guest-focused Event Coordinator to support the planning and execution of group reservations, weddings, and special events. Working closely under the Director of Sales and the Event Manager, this role serves as a primary point of contact for clients while coordinating internal resort departments to ensure seamless and memorable events.

Key Responsibilities

  • Support and coordinate group room reservations, including contracts, rooming lists, billing arrangements, and on-site group needs.

  • Correspond with clients via email and phone to confirm event details, timelines, and expectations. Meet & greet clients in person as well.

  • Assist with event tastings, including scheduling, setup, coordination with culinary and banquet teams, and post-tasting follow-up.

  • Work weddings and events on weekends when necessary, serving as an on-site liaison to ensure smooth execution and high-quality guest experiences.

  • Support the planning and coordination of weddings, social events, corporate meetings, and group functions.

  • Prepare, update, and distribute event documentation such as resumes, timelines, and confirmations.

  • Communicate event details clearly and effectively with internal departments including Front Desk, Housekeeping, Culinary, and Banquets.

  • Assist with event setup, wedding planner coordination, and vendor coordination as needed.

  • Handle last-minute changes and resolve issues professionally during live events when Event Manager and Director of Sales are not present.

  • Maintain accurate client and event records within hotel and event management systems.

  • Uphold the luxury service standards and brand of Whiteface Lodge in all client and guest interactions.

Qualifications

  • Previous experience in event coordination, hospitality, weddings and/or  group sales preferred.

  • Strong organizational and multitasking skills with exceptional attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to work weekends, evenings, and holidays, particularly during peak wedding and event seasons.

  • Professional, polished demeanor with a strong commitment to guest service.

  • Ability to work independently while also collaborating closely with leadership and cross-functional teams.

  • Proficiency with Google Suites; experience with hotel or event management software a plus (Amadeus Delphi - Salesforce, IQWare).

  • Ability to stand for extended periods and lift up to 25 lbs when needed.

Work Schedule

  • Primarily Wednesday through Sunday office hours with required weekend availability for weddings and events.
